Welcome to Aimee, a platform that enables users to manage their memberships, events and auctions through an online platform. This app/software has been developed by Gilmation Ltd for the management of memberships, events and auctions.

The Platform is accessed through the website with domain name including all webpages, subdomains, and subparts therein.

We take the privacy of your personal data seriously, and for that reason, we have created this Privacy Policy in accordance with the Data Protection Act 1998. Please read this document as well our the Terms and Conditions as they describe the information that we collect from you and what may happen to that information.

Confidentiality in the automated processing of personal data of users

Aimee (Gilmation Ltd) complies in all respects with the Data Protection Act 1998 (the “Act”),  with regard to the confidentiality of personal information provided by individuals.

Gilmation Ltd is registered as a data controller with the Information Commissioner’s Office.

Gilmation Ltd has adopted appropriate security levels for protection of personal information as set out in the Act, and has installed all technical and organisational measures at its disposal to prevent the loss, misuse, alteration, unauthorised access and theft of personal information. Personal information collected will be automatically processed and incorporated into Gilmation Ltd databases and files.

Gilmation is transparent about how do we use and store personal data. Users can access permanently to this Policy and we encourage that prior to providing any personal information, this policy is fully understood and the consent informed.

We will delete or amend any personal data that are found to be incorrect or out of date. If you are aware of any change that must be made, please update by editing your personal details on the webpage or contacting us via email.

General Aimee Users

Users will be providing the personal data information to us voluntarily when they want to use our service through any form provided on the website. This information will be hold by Gilmation Ltd for the purpose of providing the online service. This may include:

  • Personal details such as name, address, email address and other information relevant for the service in question.
  • Family, lifestyle and social circumstances.
  • Services provided.
  • Physical or mental health details - In particular we may collect, allergic intolerance information, special access requirements, such as wheel chair. This information is collected for your security and welfare. As such, it will be processed only under your express consent.
  • We will always strive to collect only that data which is adequate, relevant and not excessive in order to enable us to provide the Services.

Organisations and their representatives

Event owners/organisers will add the personal data details in our email tools to contact with the potential attendees to an event (email addresses). We encourage organisers to previously obtain an authorisation for processing these information, and we assume that they are allowed to do it. However, any individual can ask us to stop using their personal data if they do not authorise such use. Their details will be deleted from our system, and we will not use them anymore.

In addition to the standard fields required to be completed, the Organiser of any event may require additional information. These fields must always be proportional and not excessive in relation to the purpose of a particular event.

Ip Addresses

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual. (not to sure, they say now that IP address are personal data/ double check this).

  • An Organisation, in it's capacity of event organiser, auction organiser or where you are a member of that organisation.
  • Family and representatives of the person whose personal data we are processing.

  • Business transfer - If our company is acquired by a third party the data held by us about users will be one of the assets to be transferred.
  • Parent companies, subsidiaries and affiliates - We may also share your Personal Data with our parent companies, subsidiaries and/or affiliates for purposes consistent with this Privacy Policy. Our parent companies, subsidiaries and affiliates will be bound to maintain that Personal Data in accordance with this Privacy Policy.
  • Legal obligation - If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of our customers, or others.
  • When you give us your express permission to do so.

However, if after a period of thirty (30) days you have not consented to the change in the Policy, your account will be automatically suspended until such time as you may choose to consent to the Policy change(s). Gilmation Ltd has adopted appropriate data protection policies and processes to guarantee the individuals’ rights set out in the Act Data Protection Act 1988, in particular:

Right to prevent the use of your data for marketing purposes

You have the right to ask us not to process your personal data for marketing purposes. We will inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data.  You can also exercise the right at any time or by contacting us via email.

Right to access to personal information held about you

You can have access to the information held by Gilmation Ltd about you. Your right of access can be exercised in accordance with the Data Protection Act 1988. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about.


Under 13. This app has not been designed to be used for under 13 years old. However, if under 13 are attending and event we may need to collect his/her names and personal details. In such case, there must be the parent or legal tutors who provide the details and authorised Gilmation Ltd, for the processing of the data.

Responsibility Exclusion

The Website may, from time to time, contain links to and from the websites of our partner networks, advertisers, and affiliates.  If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data to these websites.
